EXHIBITOR INFORMATION

Exhibitor and Vendor Fees

Exhibitors and vendors fees are listed below. The fees will provide the following:

  • 2 - Conference registration

  • 1 - Table (6ft) with a ship 

  • 2 – Chair

  • 1 - Advertisement space in the conference program (e.g., organization name or logo) 

 

Additional tables can be obtained for an extra fee. For those who need Internet service and or electric, a flat fee of $100 will be charged to each vendor or exhibitor requiring any of these services. The fee will also cover power strips and extension cords.

Setup and Dismantling Exhibits Policy:

Installation of exhibits may begin at 8:00 am on September 27, 2026. No exhibitor or vendor shall have the right to pack up and remove materials prior to the closing of the conference. All items left in the exhibit hall after dismantling hours will be disposed of or handled at the discretion of the hotel. The exhibitor or vendor must also leave their space in the same condition as it was upon arrival.

Exhibitors and Vendors Cancellation and Refund Policy:

Cancellations of tabletop rental must be made in writing and emailed to local arrangements committee contacts by July 1, 2026 to receive a 75% refund. There will be no refunds made for cancellations after August 1, 2026.

 

Exhibitors and Vendors Conference Requirements:

Exhibitors and vendors must wear the official conference badge with his/her name and organization upon entering the hall for the event. All event attendees, including exhibitors and vendors, must be registered participants of the conference.

Exhibitors' and Vendors' Security:

Security will be provided overnight in the exhibit hall area during the week of the conference. However, exhibitors and vendors should remove small portable items of value and personal items each evening before leaving the facility. Furthermore, exhibitors and vendors should make sure their items of value are insured before bringing them to the event.

Exhibitor's and Vendor's General Conduct and Behavior:

The general rule on the exhibit floor is to "Be a Good Neighbor." No exhibit should interfere with the general view or rights of any other display. No exhibit shall extend beyond the official floor plan dimensions or into an aisle to prevent the exhibit space from being accessible to persons with disabilities. Except with special permission, exhibit materials placed along the side rails in the front 6 feet of the booth may not exceed 4 feet in height. Exhibit materials on tabletop displays may not extend beyond the tabletop dimensions of 8 feet in length or 48 inches in width. No exhibitor or vendor can change or move the arrangement of his or her tabletop or booth (this includes the drapes that will be used in the booth areas).

Audio and video devices operated in an objectionable manner in the opinion of the conference organizers may be prohibited. Booth or tabletop noises must not interfere with the conversation of other exhibitors, vendors or attendees.

Cancellation or Postponement of the Conference:

In the event of fire, strikes, riots, civil commotion, acts of God, war, terrorism, epidemics and other unavoidable circumstances rendering it impossible or impractical for any reason for the organizers to host this event, the vendors or exhibitors, shall be released from their contract. In such an event, all payments made by the exhibitors or vendors for exhibit space shall be returned minus any expenses incurred by the organizer on behalf of the exhibitor.
